Our Services are Structured Specifically to Meet
the Needs of Your Association.

ACM’s services can be structured specifically to meet the needs of your association by offering two different levels of service. Our "full community management service" contract includes accounting, property management, community management, administrative and architectural services. Our "accounting and administrative service" contract includes accounting, administrative and architectural services. Descriptions for each service we provide are as follows:

Accounting

  • Coordinating and processing association assessments and payments.
  • Reconciling association bank accounts each month.
  • Preparing detailed monthly financial statements and reports.
  • Processing and payment of all board approved invoices.
  • Maintaining association financial records.
  • Preparing monthly delinquency report for owners in assessment arrears.
  • Coordinating association’s annual audit.
  • Liaison with mortgage lenders to provide financial status of the association and/or specific owners involved in sale of a unit.
  • Implementing investment strategies and providing various options based on research.
  • Pursuing delinquent accounts via phone calls, emails, and fines.
  • Coordinating with association’s legal counsel on collection issues and processing of liens to secure debts owed to the association.
  • Drafting, sending, and maintaining records of delinquency letters to owners in assessment arrears.

Property Management

  • Upon board request to the community manager, providing quotes on behalf of ACM’s maintenance department and coordinating these jobs once approved.
  • Coordinating 24 hour emergency response repairs with maintenance personnel.
  • Handling sub-contractor bid process for associations and ensuring quotes meet their specific scopes.
  • Coordination of board approved jobs with on-site sub-contractors.
  • Performing periodic on-site inspections/walkthroughs of properties and submitting reports to community managers.
  • Performing specific on-site project management needs for associations (typically, this would only be needed for large scale projects--hourly rates as stated in ACM’s contract apply).
  • Submitting bids to the board from ACM maintenance and/or sub-contractors for approval.

Community Management

  • Liaison between Board of Directors and owners.
  • Working with the board on training information for new owners, board members, and committees.
  • Sharing with board members various forms, programs, policies, and procedures that have proved effective through our experience.
  • Attending regular, special, and annual board meetings.
  • Submitting the monthly management report.
  • Reviewing monthly financials prepared by accounting and providing overview/comments to be submitted with the management report.
  • Communicating by-laws, declarations, and/or covenants to owners.
  • Maintaining and documenting current contracts in place and all association records.
  • Coding association approved invoices and forwarding to accounting for processing.
  • In-depth knowledge of association documents and current state/local laws that may supersede these.
  • In-depth knowledge of insurance policies, deductibles, and claim process for dealing with property damage and/or losses incurred by the association.
  • Processing work orders and ensuring of proper completion.
  • Hiring and supervision of on-site staff required for the association, if applicable.
  • Inputting all informational updates on the community website until interim training/transition period is completed with the board.
  • In conjunction with accounting, preparing the annual operating budget for the board’s review and approval.
  • Assisting the architectural committee with periodic inspections of the property.

Administrative/Architectural

  • Preparing resale packages and "welcome letters" for new homeowners.
  • Handling day-to-day inquiries from unit owners (verbal and written) and recording pertinent correspondence.
  • Communicating by-laws, declarations, and/or covenants to owners.
  • Inputting all informational updates on the community website until interim training/transition period is completed with the board.
  • Sharing with board members various forms, programs, policies, and procedures that have proved effective through our experience.
  • Receive, track and maintain maintenance requests.
  • Responding to homeowner inquiries and correspondence relating to architectural requests and covenant violation issues.
  • Drafting, sending, and maintaining records of violation notices to owners.
  • Submitting, tracking and maintaining architectural requests and records.
